Setting limits by subcategory

For customers subscribed to the Castle plan, it is now possible to configure limits by part/subcategory. These limits will be applied when moving assets to a user, on a transfer order, or when requisitioned by a user.

Activate the limits

Limits are activated from the Settings > Part configuration page. Simply choose a limit option other than “None”. Regarding the other fields :

  • Reset option : Date on which a user’s limits are automatically reset to 0.
    The options are :
    • Fiscal Date (can be setup from the Settings > General page).
    • Date of employment of the user.
    • A personalized date.
  • Default frequency : Frequency that will be automatically added when setting limits on a part. The frequency indicates the duration when an asset is considered as part of the limit. The duration period starts at the moment an asset is assigned to the user.
  • Default quantity : Quantity that will be automatically added when a limit is added. Sets the maximum number of assets allowed for the users concerned.

Once the limits are activated, a “Limit” tab will be available on the part edit page as well as on the department edit page :

Impact of limits

When limits are activated, when assigning assets to a user, notifications will indicate if the user has passed their limit threshold. This will allow staff to review a transaction and react accordingly before assigning assets. At the end of this article, you will find examples of the alerts during these operations.

At the level of requisition orders, a new setting is available to manage the limits. The options are as follows:

  • Prevent the part from being added to the cart and show the reason why.
  • Notify the user’s manager via email when the draft requisition is submitted. The requisition will be placed in a pending approval status.
  • Notify the Requisition Order owner by email. The requisition will be placed in a pending approval status.
