How the loaner catalog refresh works

The loaner catalog refresh option, found in the Stockroom > Loaners > Catalog > Options section, can be used to control how often the public catalog is refreshed for each stockroom.

Automatic (default)

The catalog is refreshed automatically any time a category, part or asset is changed. This means that changes made in the Inventory section are reflected immediately in the catalog of the stockroom. Here is an example of changes that will trigger a refresh of the catalog :

    • Description

    • Model
    • Price
    • Note
    • Default Duration
    • Buffers (Before or After)
    • Auto Out/Close
    • Require Approval
    • Asset Grouping

  • Asset
    • Title
    • Asset Tag
    • Note
    • Price
    • Permissions
    • Whereabouts
    • Condition
    • Quantity
    • Racking Location
    • Attributes
    • Maintenance Dates
    • Life Span Dates

Daily

The catalog will be refreshed once a day.

This means changes made in the inventory section are not reflected in the catalog until the next day. A staff member can still refresh the catalog from the action menu in the loaner management page.

Manual

The catalog is only refreshed on demand by a staff member.


Now, the main question around catalog refresh is why would a staff member want to turn off the Automatic option?

This option can be useful when massive changes need to be made to the inventory belonging to the stockroom, without impacting the user’s capacity to make reservations during the time the changes are being made. For example, new assets could be created inside the stockroom, but not be ready to be reserved yet. Or a staff member might be making important changes to permissions and does not want those changes to be reflected until the end of the exercise.
