Maintenance
Preventive maintenance software built into your asset management
Hector’s maintenance module schedules multiple maintenance types per asset, each with its own frequency. It displays a checklist on the form and automatically creates the work order as soon as maintenance is triggered.
Prevent breakdowns, standardize inspections
Preventive maintenance is work scheduled at regular intervals to keep equipment running before it breaks down. Hector links each maintenance task to the asset, its checklist and the resulting work order.
Multiple maintenance types
Set up different maintenance types for the same asset, each with its own frequency: a weekly inspection, quarterly servicing and an annual check, all on the same piece of equipment.
Custom checklists
Standardize your inspections with checklists tailored to each maintenance type. Your technicians follow the same steps every time, and nothing is left to chance.
Custom notifications
Choose who gets notified, when, and for which maintenance task. Whether a due date is approaching or a task is overdue or completed, every owner gets the right information at the right time, with no manual follow-up.
Automatic work orders
As soon as maintenance is triggered, Hector can create the work order and link it to the right resource. Nothing is forgotten and there’s no double entry.
Every check, in the same order, by every technician
The checklist is part of the maintenance form. The technician checks off each item on site, and the asset’s history keeps a record of every job.
- One checklist per maintenance type
- Consistent inspections across teams and sites
- History you can review during an audit

Your questions, answered
What is a maintenance plan in Hector?
A maintenance plan defines when and how your equipment should be inspected or serviced. Hector calculates due dates, alerts you when maintenance is coming up, and can automatically generate the corresponding work orders.
How is the next maintenance date calculated?
You set a maintenance frequency at the subcategory level. Hector then automatically calculates the next maintenance date for each asset, and you can adjust it manually if needed.
Can I set up multiple maintenance types on the same equipment?
Yes. With multi-maintenance, you set up several maintenance types for the same equipment, each with its own frequency. For example, a weekly inspection, quarterly servicing and an annual check on the same asset.
Can I standardize the checks for each maintenance type?
Yes. Custom checklists define the items to check for each maintenance type. Your technicians follow the same steps every time.
Are work orders created automatically?
Yes. When maintenance is triggered, Hector can automatically generate the corresponding work order. Nothing is forgotten and there’s no double entry.
How do I know which assets need maintenance?
The dashboard shows the assets that need maintenance. The home page also displays upcoming maintenance in a daily, weekly or monthly view.
Can I get maintenance notifications?
Yes. Custom notifications now cover maintenance: you choose who gets notified and when, under Settings › Automation. Maintenance-related emails and printouts can also be customized.
Can I prevent equipment from being booked while it’s under maintenance?
Yes. Warehouse settings let you block bookings during maintenance or when maintenance is overdue.
Where can I find an asset’s maintenance history?
Each asset record keeps a history of all actions in a dedicated tab. The fully redesigned record also shows the history of expenses related to maintenance and work orders.
Which Hector plans include maintenance management?
Maintenance and inspections are included in all three Hector plans: Shield, Armor and Castle.
