The Art and Media Technology (ATM) department at Cégep de Jonquière streamlined the coordination of more than 400 people by choosing the Hector online booking system.
Cégep de Jonquière, in the Saguenay-Lac-Saint-Jean region, offers 28 pre-university and technical programs. It is best known for its training in Art and Media Technology: Media Communication (Journalism, Radio and Advertising profiles), Television Production and Post-production (Production and Post-production profiles) and multimedia integration.
With more than 50 years of experience teaching media communications, Cégep de Jonquière is the only institution to offer all three Art and Media Technology programs, two of which are unique in Quebec. Students learn in studios, with access to a wide range of equipment.
Hector’s flexible system made all the difference for us! Now students can book their equipment online in advance, and that has improved things enormously.

Students had to come in person and book in a paper logbook
A few years ago, Cégep de Jonquière began looking for inventory management software that could meet its needs. The old system did not let students make their own bookings, which was a problem.
“Tracking and managing the technical equipment really was not optimal; we needed a modern solution.”
Jean-François took charge of the project. He evaluated several options, including VinBIZZ, Koha and BookingPoint. These proved too complex, too expensive, poorly suited to the Cégep’s needs, or closed systems (access restricted to a single user).
The Cégep therefore turned to a cloud solution, more flexible and reliable, to make students autonomous in their bookings.
Cloud software available at all times, with a filterable item catalog.
Staff and students book directly, with no single point of contact.
Repeat bookings set up automatically, for a reliable calendar.
The responsible staff are informed automatically of requests.
Track your entire equipment fleet from a single platform.
The risk proved minimal for Jean-François and his Art and Media Technology team, since they were able to build up their inventory in the software gradually.
Planning inventory bookings for television is essential in ATM. Since there are more students than devices, bookings must be approved in advance by the teachers in charge.
« At a glance, thanks to the catalog, students can see the equipment available on the dates they want, according to their program or study group. That is what we love about Hector: the information is updated in real time.
With the paper system, students did not always come back to cancel their bookings in the logbook, which led others to believe equipment was unavailable when there was still availability. »
Rolling out the software at Cégep de Jonquière was very well received by students and teachers, who found it easy to use from the start. Everyone noticed the benefits it brought.
In the end, Cégep de Jonquière is happy with the technological shift it made with Hector. Staff are now far from the initial “pen and paper” method, and have discovered the benefits an inventory management software can bring in education, without having to invest in software that is too expensive and poorly suited to their needs.
